Title & Escrow Document Automation

Title and escrow document automation, from search package to recorded deed.

Your examiners and closers decide. The software does the retyping.

A purchase file carries the same names, legal description and figures through the search package, the commitment, the payoff letters, the settlement statement, the deed and the recording package. We build document automation that carries that data through and flags where the documents disagree, and an examiner or closer approves each document.

Search packages read line by line

Search packages arrive as stacks of recorded documents. An examiner reads each one to build the chain of title and list the mortgages, liens, judgments and easements before drafting the commitment.

Payoffs and lender figures arrive as PDFs

Payoff letters, lender closing disclosures and HOA estoppels come in by email in every format. A processor keys the figures into the settlement statement, then checks them again when a revised letter arrives.

Trailing documents after closing

Recorded deeds and mortgages, releases of the prior lien and final policies come back long after closing. Matching them to files and chasing the missing ones becomes a backlog that is hard to get ahead of.

What we build for title and escrow companies

Each of these is a real engagement shape. Open one to see how it works, what it needs from you, and where a person stays in the loop.

Any figures are targets we scope towards, not guarantees. What you actually get depends on your volume, your systems, and how much stays under human review.

Title search summaries and commitment drafts

Examiners spend much of their time reading recorded documents before they get to the examination itself.

AI reads the search package and prior policy, builds the chain of title and a list of open mortgages, liens, judgments, easements and restrictions with the recording reference for each, and drafts Schedule A details and Schedule B requirements and exceptions in your format. The examiner makes every call on what the commitment says.

How it works

  1. 01Receive the search package and prior policy from your abstractor or title plant
  2. 02Extract grantors, grantees, instruments, recording references and legal descriptions
  3. 03Build the chain of title and list open items with the document each came from
  4. 04Draft Schedule A and Schedule B requirements and exceptions in your commitment format
  5. 05Hand the draft to the examiner in your title production system for review

Where a person stays in the loop

The AI organizes what is in the record. The examiner decides what it means and what the commitment says.

  • The examiner reviews and edits every commitment before it is issued
  • Documents the system cannot read clearly are flagged instead of summarized
  • Legal description differences between documents are always shown to the examiner

What it needs from you

  • Search packages as PDFs or exports from your title plant
  • Your commitment templates and standard requirement wording
  • Access to your title production system (API or import)

Common questions

Does it work on older or handwritten recorded documents?
Older and handwritten instruments are harder to read reliably, so the system flags them for the examiner instead of summarizing them. During scoping we test it on search packages from your own counties so you see where it holds up and where it does not.

Typical build: 3 to 4 weeks·Aim: Every item tied to its recording reference

Payoff letters and lender figures

Payoffs and lender closing disclosures are retyped into the settlement statement and rechecked every time a revised version arrives.

AI reads each payoff letter for the loan number, payoff amount, per diem and good-through date, and each lender closing disclosure for its figures. It stages them for the settlement statement and compares them with what is already in the file. Expired payoffs and figures that do not match are flagged for the processor.

How it works

  1. 01Collect payoff letters, lender closing disclosures and estoppels from the file inbox
  2. 02Extract amounts, per diem, good-through dates and loan references
  3. 03Stage the figures for the settlement statement in your production system
  4. 04Compare them with the lender figures and earlier versions, and flag differences
  5. 05Alert the processor when a payoff will expire before the scheduled closing

Where a person stays in the loop

A processor confirms every figure before it reaches the settlement statement. Wire instructions are verified by your staff through your own call-back procedure, and the automation never reads, sets or changes them.

  • Every staged figure is confirmed by a processor
  • Wire instructions are excluded from extraction and updates
  • A revised payoff letter is always shown next to the previous version

What it needs from you

  • Access to the file inbox
  • Settlement statement access in your title production system
  • Your current payoff and balancing checklist

Typical build: 2 to 3 weeks·Aim: Mismatches flagged before balancing

Closing package preparation

Deeds, affidavits and closing documents are prepared by copying names, vesting, legal descriptions and figures from the commitment and the contract.

Closing documents are filled from your templates using data already confirmed in the file, and names, vesting and the legal description are checked against the commitment and the purchase contract. The closer reviews the package before it goes out for signing.

How it works

  1. 01Pull confirmed parties, vesting, legal description and figures from the file
  2. 02Fill your deed, affidavit and closing document templates
  3. 03Check names and vesting against the commitment and the purchase contract
  4. 04Flag differences such as a missing middle initial or a spouse not on title
  5. 05Hand the package to the closer for review before signing

Where a person stays in the loop

The closer reviews every package. Questions about how a buyer takes title go to your staff, not the software.

  • The closer approves each package before it is sent for signing
  • Every flagged name or vesting difference is resolved by a person

What it needs from you

  • Your deed, affidavit and closing document templates
  • Commitment and contract data in your title production system

Typical build: 2 to 3 weeks·Aim: Packages checked against the commitment

Post-closing, recording and policy issuance

Recording packages, final policies and trailing documents are tracked by hand after closing.

The recording package is assembled from the closed file, returned recorded documents are matched back to the file, final owner's and lender's policies are drafted from the commitment for examiner review, and missing releases and recorded documents are chased on a schedule.

How it works

  1. 01Assemble the recording package after funding
  2. 02Submit through your e-recording service where it allows, or prepare it for staff to submit
  3. 03Match returned recorded documents to the file with their book and page or instrument number
  4. 04Draft final policies from the commitment for examiner review
  5. 05Track releases and other trailing documents and send follow-ups

What it needs from you

  • Your e-recording service account
  • Final policy forms from your underwriter
  • Your post-closing checklist

Typical build: 3 to 4 weeks·Aim: Final policies drafted from the file

How we handle your data

Built inside your systems, not beside them.

We work in your cloud, using your tools, under least-privilege access. We never train models on your data, and you keep the source code.

  • Wire instructions stay manual

Automation never reads, sets or changes wire instructions. Your call-back verification stays with staff.

  • Encrypted personal information

Buyer, seller and borrower information is encrypted in transit and at rest, in your cloud account where possible.

  • Least-privilege access

Each workflow gets only the file data it needs, and access is removed when it is retired.

  • Audit trail

Every automated action and every approval is logged with who made it and when.

Systems we build around

  • SoftPro
  • ResWare
  • Qualia
  • RamQuest
  • Simplifile
  • CSC eRecording
  • Underwriter agent portals
  • DocuSign
  • Microsoft 365

These are systems title and escrow offices commonly ask about, not a list of existing integrations. We connect where your system offers an API, an interface or a reliable export, and confirm what your plan allows during scoping.

Questions we get

What is document automation for title and escrow companies?

Title and escrow document automation is software that reads the documents a title file collects and drafts the documents the file produces. It turns search packages into summaries and commitment drafts, payoff letters into settlement statement figures, and confirmed file data into deeds, closing packages and recording packages. It also flags where documents disagree. Examiners, processors and closers review and approve every document before it is issued or signed.

Which title and closing documents can be automated?

Most documents built from data already in the file: title search summaries, Schedule A and Schedule B commitment drafts, payoff and lender figure intake for the settlement statement, deeds and affidavits, recording packages, and final owner's and lender's policies drafted from the commitment. Wire instructions are the exception. We keep them out of automation, and your staff verify them through your own call-back procedure.

Does it integrate with SoftPro, ResWare, or other title production software?

We connect where your system offers an API, an interface or a reliable export, and confirm which during scoping. SoftPro, ResWare, Qualia and RamQuest each handle outside access differently, and some access depends on your plan or a partner program. We check API availability, plan tier and partner requirements before quoting. Where direct access is limited, documents can be staged for import or for staff to upload, and we tell you up front what that changes.

How much does document automation cost for a title company?

It depends on how many document types are in scope, whether your title production system has usable API access, and your monthly file count. The AI audit is free and ends with a scoped estimate. Builds are fixed-price against that scope, and ongoing support is a flat monthly fee covering hosting, monitoring, model and API costs, and fixes. There is no hourly billing. Our pricing page explains what moves the number.

Can automation handle title search summaries and closing document prep?

Yes, as drafts for your staff to review. AI reads the search package and prior policy and produces a chain of title and a list of open items, each with its recording reference, plus draft commitment requirements and exceptions. For closing, it fills deeds, affidavits and closing documents from confirmed file data and checks names and vesting against the commitment. The examiner and the closer decide what is issued and signed.

What's the ROI of document automation for a title or escrow office?

Return comes from examiner and processor time spent retyping and rereading, from mismatches caught before closing day, and from post-closing items that are tracked instead of remembered. How large it is depends on your file volume, your mix of purchase and refinance, and how manual the work is today. The free audit looks at your current process first, so any estimate uses your numbers rather than an industry average.

How long does implementation take?

Most builds go live in two to three weeks from a defined scope. A title production system with restricted API access, or search packages from many different counties and abstractors, can take longer, which is why we scope before we quote. We usually start with one document type, such as payoff intake or search summaries, prove it on your own files, and then add the next.

Will automation replace title examiners or closers?

No. Examination and closing are judgement work, and they stay with your examiners and closers. The automation takes the reading and retyping that comes before the judgement: pulling data out of recorded documents, keying payoff figures and filling templates. Every commitment, settlement statement and closing package is still reviewed and approved by a person on your staff.

Is title document automation secure and compliant?

It is built for files that hold nonpublic personal information and move money. Data is encrypted in transit and at rest, each workflow gets least-privilege access, every action and approval is logged, and wire instructions stay out of automation entirely. We never train models on your data, and you keep the source code. Your ALTA Best Practices program and state requirements stay with your company, so we document our controls for your compliance owner to review and sign off.
