Logistics workflow automation for the paperwork behind every load.
Less retyping between the inbox, the TMS and the invoice.
Every load creates a trail of documents: a rate confirmation, a bill of lading, a proof of delivery, an invoice, and for brokers a carrier packet. Most small operations move those between email, the TMS and QuickBooks by hand. We build the connections that do that moving, and dispatch and billing approve anything that sets a rate or sends an invoice.

Your dispatchers and billing clerks are the integration layer
Loads keyed in from rate confirmations
Rate cons arrive as PDFs from a dozen brokers in a dozen layouts. A dispatcher reads each one and types the pickup, delivery, rate and reference numbers into the TMS, often while answering the phone.
Delivered loads waiting to be billed
The driver photographs the POD, texts it to someone, and it sits in a phone or an inbox until billing matches it to the load. Every day it waits is a day the invoice, or the factoring submission, is not sent.
Carrier paperwork tracked in a spreadsheet
Brokers collect insurance certificates, W-9s and operating authority for every carrier, and certificates expire. Checking them before each tender depends on someone remembering to look.
What we build for trucking and logistics companies
Each of these is a real engagement shape. Open one to see how it works, what it needs from you, and where a person stays in the loop.
Any figures are targets we scope towards, not guarantees. What you actually get depends on your volume, your systems, and how much stays under human review.
Rate confirmations into the TMS
Dispatch retypes pickup and delivery details, rates and reference numbers from emailed rate confirmations into the TMS for every load.
Rate confirmations into the TMS
Dispatch retypes pickup and delivery details, rates and reference numbers from emailed rate confirmations into the TMS for every load.Rate cons sent to your dispatch inbox are read, the load details are pulled out, and a draft load is created in the TMS. A dispatcher checks the rate, stops and accessorials and confirms it.
How it works
- 01Route your dispatch inbox into one intake queue
- 02Read each rate confirmation and pull broker, load number, stops, dates, equipment, rate and accessorials
- 03Match the broker to your customer list and flag new ones
- 04Create a draft load in the TMS with anything unusual highlighted
- 05Confirm the load once a dispatcher approves it
Where a person stays in the loop
The system drafts the load. A dispatcher decides whether the rate and the stops are right before it is booked.
- Every draft load is confirmed by a dispatcher
- Rates that differ from the quoted rate are flagged, not accepted
- Unreadable or partial rate cons go straight to a person
What it needs from you
- Access to the inbox where rate confirmations arrive
- Your TMS, with an API or a supported load import
- Your broker and customer list
Typical build: 2 to 3 weeks·Aim: Loads in the TMS without retyping

Signed BOLs and PODs come back as phone photos and scans, and billing matches each one to a load before the invoice can go out.
BOL and POD capture to invoice
Signed BOLs and PODs come back as phone photos and scans, and billing matches each one to a load before the invoice can go out.Drivers send POD photos to one number or address. Each document is read, matched to the load by reference number, attached in the TMS, and the invoice packet is built for billing to review and send to the customer or your factoring company.
How it works
- 01Give drivers one text number or email address for BOLs and PODs
- 02Read each document and match it to the load by BOL, PO or load number
- 03Flag exceptions noted on the POD, such as shortages, damage or detention
- 04Attach the documents to the load and build the invoice with the rate con and POD
- 05Hold the invoice for billing to approve, then send it or push it to QuickBooks
Where a person stays in the loop
Matching and invoice prep are automated. Billing approves each invoice, and any POD with exceptions noted goes to a person first.
- Billing approves every invoice before it is sent
- PODs with shortages, damage or missing signatures are routed to a person
- Unmatched documents are queued, never guessed
What it needs from you
- A text or email channel drivers already use
- TMS document storage and invoice data via API or import
- QuickBooks or your accounting system
- Your factoring company's submission requirements, if you factor
Typical build: 2 to 3 weeks·Aim: A list of delivered loads not yet billed

Carrier onboarding and compliance documents
Brokers collect certificates of insurance, W-9s and authority details for every new carrier and track expiry dates in a spreadsheet.New carriers get one request for their packet. Documents are read and filed, the carrier's authority and insurance status are checked against public FMCSA data, and expiring certificates trigger a renewal request before they lapse.
How it works
- 01Send new carriers a request for their certificate of insurance, W-9 and signed agreement
- 02Read each document and pull policy limits, expiry dates, MC and DOT numbers
- 03Check operating authority and insurance on file with public FMCSA data
- 04Record the carrier in your TMS and flag anything missing or below your requirements
- 05Request renewed certificates ahead of expiry
Where a person stays in the loop
The system collects, reads and checks. Your carrier relations or compliance lead decides who gets approved.
- Every new carrier is approved by a person
- Coverage below your minimums is flagged for review
- Your carrier requirements are set by you, not by the system
What it needs from you
- Your carrier requirements (coverage minimums, authority age, documents)
- Carrier records in your TMS or onboarding tool
- An inbox for carrier documents
Typical build: 3 to 4 weeks·Aim: Expiring certificates caught before a tender

Shipping labels through carrier APIs
Shipping teams build parcel labels on carrier websites and copy tracking numbers back into the order system and the customer email.Labels are created through your UPS, FedEx or USPS account directly from the order, tracking is written back, and the customer gets it without anyone copying it.
How it works
- 01Pull ship-to, package weights and service level from the order
- 02Create the label through your carrier account and send it to the right printer
- 03Write the tracking number and cost back to the order
- 04Send tracking to the customer and flag failed or voided labels
What it needs from you
- Carrier accounts with API access
- Order data from your order system, WMS or ERP
- Label printers at each shipping station
Typical build: 2 to 3 weeks·Aim: Labels printed from the order itself

Questions we get
What is logistics workflow automation?
Logistics workflow automation is software that moves load documents and data between a trucking or freight company's systems without people retyping them. Typical examples are emailed rate confirmations turned into draft loads in the TMS, PODs matched to loads and turned into invoices, and carrier insurance certificates tracked to expiry. Where a step needs judgement, such as reading a scanned POD, AI suggests the answer and a person confirms it.
Which logistics and trucking workflows can be automated?
The good candidates are high-volume and document-heavy: rate confirmation intake, BOL and POD capture, load-to-invoice and factoring submissions, carrier onboarding and certificate tracking, and parcel label generation. Dispatch decisions, rate negotiation and carrier approval stay with your people. Automation handles the paperwork on either side of those decisions.
Does it integrate with our TMS or accounting system?
Usually, yes, but we confirm it before quoting. McLeod, Rose Rocket, Tailwind and Revenova each expose data differently, and access can depend on your version, plan or hosting. Revenova runs on Salesforce, which changes how we connect. QuickBooks Online has a public API; QuickBooks Desktop is more limited. During scoping we check for API access, a supported import or a reliable export, and tell you up front if the path is limited.
How much does workflow automation cost for a logistics or trucking company?
It depends on how many workflows are in scope, whether your TMS has a usable API, how much judgement the system must replicate, and your monthly load volume. The AI audit is free and ends with a scoped estimate. Builds are fixed-price against that scope, and ongoing support is a flat monthly fee covering hosting, monitoring, model and API costs. Our pricing page explains what moves the number.
Can automation handle shipping labels, invoicing, and carrier compliance?
Yes, all three. Parcel labels can be created through your UPS, FedEx or USPS API account with tracking written back. Delivered loads can be invoiced once the POD is matched, with billing approving each invoice. Carrier certificates, W-9s and authority can be collected, checked against public FMCSA data and tracked to expiry, with your compliance lead approving each carrier.
What's the ROI of automating logistics operations?
The return comes from dispatch and billing hours given back, fewer data entry errors on loads, and invoices sent sooner after delivery, which brings cash in sooner. How large it is depends on your load volume and how manual the current process is. The free audit looks at your current process first, so any estimate uses your numbers.
How long does implementation take?
Most builds go live in two to three weeks from a defined scope. A TMS with no API, or one where access goes through a vendor approval, can take longer, which is why we scope before we quote. We usually start with one workflow, often rate confirmation intake or POD to invoice, prove it on live loads, and add the next.
Will automation replace dispatchers or back-office staff?
That is not what we build it for. Dispatchers are paid to manage drivers, loads and problems on the road, and billing staff to get paid on time. The automation takes the retyping and document matching off both, so they spend more of the day on that work. People still approve every load, invoice and new carrier.
Is logistics workflow automation secure for shipment and customer data?
We build it to be. We work in your own cloud account where possible, give each workflow least-privilege access to only the data it needs, encrypt data in transit and at rest, and log every automated action. Your rates, lanes and customer data are never used to train models, and you keep the source code. Security responsibilities on your side are documented with you.
