OpSpring.ai
Hospitality AI Chatbot

A hospitality AI chatbot that answers guests while your staff are busy with others.

Guest questions, reservations and requests, answered in the guest's language.

The front desk phone rings while a guest is checking in. Someone asks the host stand about gluten-free options by direct message at midnight. We build an assistant for your website, text line and messaging channels that answers from information you approve, takes reservation and booking-change requests, and passes anything that needs a person to the front desk, the host or the right department.

Guests ask the same questions while your staff are with other guests

One front desk, two queues

Check-in time, parking, pets, breakfast hours, the Wi-Fi password. The front desk answers these by phone and chat while a line forms at the counter, and the guest standing there waits.

Reservation requests in every channel

Party-size changes, large-group inquiries and late check-out requests arrive by email, text and direct message, often after hours. Each one has to be copied into the PMS or reservation book by hand.

Guests who write in another language

International guests send questions in their own language. Staff either translate by hand or reply in English and hope the answer lands.

What we build for hotels and restaurants

Each of these is a real engagement shape. Open one to see how it works, what it needs from you, and where a person stays in the loop.

Any figures are targets we scope towards, not guarantees. What you actually get depends on your volume, your systems, and how much stays under human review.

Guest FAQs in the guest's language

Staff answer the same policy and amenity questions all day, and guests who write in another language wait longer for a reply.

The chatbot answers from an answer set you approve: policies, amenities, hours, directions, menus and allergen information you provide. It replies in the language the guest writes in. Policy wording you care about, such as cancellations and deposits, can be fixed text rather than generated.

How it works

  1. 01Collect your policies, amenities, hours, menus and allergen notes
  2. 02Agree the answers with your team and mark which wording must stay exact
  3. 03Choose the languages you want reviewed by someone on your staff before launch
  4. 04Launch on your website, text line and the messaging channels you use
  5. 05Update the answer set when menus, hours or policies change

Where a person stays in the loop

You approve the answer set before launch. Questions outside it go to a person instead of being guessed at.

  • Answer set signed off by the general manager or owner
  • Allergy questions answered from your notes, with a prompt to confirm with staff
  • The assistant says it is an AI and offers a person at any point

What it needs from you

  • Your current policies, menus and FAQ content
  • Access to your website and messaging channels

Common questions

Will it tell a guest a dish is safe for their allergy?
No. It shares the allergen information you provide and tells the guest to confirm with your staff when they order. It does not make safety promises.

Typical build: 2 to 3 weeks·Aim: Guests answered in their own language

Reservations and booking changes

Reservation requests and changes arrive in messages and have to be retyped into the PMS or reservation book.

For hotels, the chatbot checks availability and sends the guest to your booking engine, or makes changes in your PMS where its API allows. For restaurants, it books or changes tables through your reservation platform where access allows, or passes the request to the host. Large parties, group blocks and special rates go to a person.

How it works

  1. 01Confirm what your PMS, booking engine or reservation platform allows
  2. 02Answer availability questions and collect dates, party size and contact details
  3. 03Book or change the reservation where the API allows, or queue it for staff
  4. 04Send payment steps through your booking engine, never through the chat

Where a person stays in the loop

Routine bookings run on rules you set. Groups, private events, special rates and deposit exceptions go to a person.

  • Group and event inquiries routed to your sales or events contact
  • Rate and policy exceptions approved by staff

What it needs from you

  • PMS, booking engine or reservation platform access, confirmed during scoping
  • Your booking and cancellation rules

Typical build: 2 to 4 weeks·Aim: Booking requests captured at any hour

Guest requests routed to the right department

In-stay requests for towels, a late check-out or a broken air conditioner come through the front desk, which relays them by phone.

The chatbot takes the request, sorts it by department, and sends it to housekeeping, maintenance or the front desk through the channel each team already uses. The guest is told who has it, and requests that need approval, such as late check-out, wait for the front desk.

How it works

  1. 01List the request types and which department owns each
  2. 02Capture the room number and details from the guest
  3. 03Send the request to that team by text, email or your task tool
  4. 04Tell the guest it has been passed on, and close it when staff mark it done

What it needs from you

  • How each department receives requests today
  • Your rules for late check-out and other approvals

Typical build: 2 to 3 weeks·Aim: Each request reaches the right team

After-hours coverage and escalation

Night audit or a single overnight clerk covers everything, and messages to a restaurant after close wait until morning.

The chatbot answers questions at any hour. Escalations follow your staffed hours or an on-call rule you set: a lock-out or safety issue reaches the on-call person, and routine requests are queued for the morning team with the conversation attached.

How it works

  1. 01Set staffed hours and what counts as urgent
  2. 02Route urgent messages to the on-call person by text or call
  3. 03Queue routine requests for the next shift with a summary
  4. 04Log every after-hours conversation for the morning handover

What it needs from you

  • On-call contacts and your escalation rules
  • An SMS provider (or we set one up)

Typical build: 1 to 2 weeks·Aim: Urgent issues reach someone at night

How we handle your data

Built inside your systems, not beside them.

We work in your cloud, using your tools, under least-privilege access. We never train models on your data, and you keep the source code.

  • Payments stay in your booking system

The chatbot does not collect card numbers in chat. Payment happens in your booking engine, PMS or reservation platform.

  • Answers you approve

You sign off on the answer set, and wording you mark as fixed is never rewritten.

  • Says it is an AI

The assistant identifies itself as an AI and offers a person at any point in the conversation.

  • Conversation log

Every conversation and handoff is logged, and guest data is encrypted. We never train models on it.

Systems we build around

  • Cloudbeds
  • Mews
  • Oracle OPERA
  • OpenTable
  • Resy
  • SevenRooms
  • WhatsApp Business
  • Twilio

These are systems hotels and restaurants commonly ask about, not a list of existing integrations. API access differs by vendor and plan, and some require a partner agreement, so we confirm what your account allows during scoping and connect where an API, an interface or a reliable export is available.

Questions we get

What is an AI chatbot for hospitality businesses?

A hospitality AI chatbot is a conversational assistant for a hotel or restaurant that answers guest questions, takes reservation and booking-change requests, and routes guest requests to staff. Ours answers from information you approve, replies in the guest's language, connects to your PMS or reservation platform where access allows, and hands off to the front desk or host when a person is needed.

Can a hotel or restaurant chatbot handle reservations and guest requests?

Yes, within the rules you set. An AI chatbot for hotels can check availability and book or change stays where your PMS or booking engine allows it. A restaurant AI chatbot can book or change tables through your reservation platform where access allows. Otherwise the request is queued for staff. In-stay requests go to housekeeping, maintenance or the front desk. Groups, events, special rates and policy exceptions always go to a person.

Does it integrate with our PMS or reservation system?

It depends on the vendor and your plan. Hotel systems such as Cloudbeds, Mews and Oracle OPERA, and restaurant platforms such as OpenTable, Resy and SevenRooms, each set their own rules for API access, and some require a partner agreement. We check what your account allows during scoping. Where direct booking is not possible, the chatbot sends guests to your booking link or passes the request to staff.

How much does a hospitality AI chatbot cost?

It depends on how many channels and languages it covers, whether your PMS or reservation platform offers usable API access, and your monthly conversation volume. The AI audit is free and ends with a scoped estimate. The build is fixed-price against that scope, and ongoing support is a flat monthly fee covering hosting, monitoring, model costs and answer updates. Our pricing page explains what moves the number.

Can the chatbot answer guest FAQs and handle multiple languages?

Yes. It answers questions about policies, amenities, hours, directions and menus from an answer set you approve, and replies in the language the guest writes in. Wording you need kept exact, such as cancellation and deposit policies, can be fixed text. Allergy questions get the information you provide plus a prompt to confirm with staff.

What's the ROI of an AI chatbot for a hotel or restaurant?

Return comes from staff time no longer spent on repeat questions, booking requests captured after hours instead of lost, and fewer requests relayed by phone. How much that is worth depends on your message volume and how many inquiries go unanswered today. The free audit starts from the questions your team handles now, so any estimate is based on your numbers.

How long does it take to set up?

Most builds go live in two to three weeks from a defined scope, including gathering your answers, staff review and testing. Direct booking through a PMS or reservation platform that requires a partner agreement can take longer, and we tell you that before quoting. We usually start with guest FAQs and add reservations once the answers are settled.

Will a chatbot replace front-desk or guest service staff?

No. Guest service automation for hospitality businesses takes the repeat questions and relayed requests so your front desk, hosts and guest service team can spend their time with the guests in front of them. Complaints, exceptions, special requests and anything that needs judgement go to a person, and guests can ask for one at any point in the conversation.

Is a hospitality AI chatbot available 24/7?

Yes, it answers guest questions at any hour. Escalations follow your staffed hours or an on-call rule you set, so a lock-out or safety issue at 2 a.m. reaches the on-call person, while routine requests wait for the morning team with the full conversation attached for them to pick up.
